Legal & Tax
To be legally recognized for corporate accounting and tax deductions, an invoice must fulfill strict international compliance guidelines. Here are the 6 mandatory elements.
1. The Word "Invoice" or "Tax Invoice"
The document must clearly identify itself with the word "Invoice" prominently displayed at the top.
2. Seller and Buyer Identifiers
Both the issuing business (Seller) and the recipient (Customer) must have their legal names and addresses listed. In jurisdictions with VAT/GST systems, tax registration numbers (TRN/VAT ID) must be stated for both parties.
3. Supply Date & Invoice Date
Always state the date of invoice issuance as well as the date goods or services were delivered.
4. Mathematical Breakdown of Taxes
The invoice must state:
- The subtotal before taxes.
- The applicable tax rate percentage (e.g., 15% VAT, 5% GST, or 0% Exempt).
- The total calculated tax amount in currency.
- The final payable grand total.
